Navis Systems, Inc. ("Navis," "we," "us," or "our") provides a yacht operations platform that helps authorized users manage vessel operations, crew workflows, compliance records, documents, communications, finance records, and related operational information.
Information We Collect
We collect information needed to provide and secure Navis, including:
- Account information, such as name, business email address, organization, role, authentication identifiers, and access permissions.
- Operational content submitted by users, such as vessel records, crew and guest information, task notes, receipt images, documents, expenses, compliance data, itineraries, and maintenance information.
- Messaging content sent to Navis through supported channels, including email, Telegram, Viber, Microsoft Teams, and WhatsApp, when a user connects that channel to Navis.
- Technical data, such as IP address, device/browser information, timestamps, diagnostics, security logs, webhook delivery metadata, and usage events.
WhatsApp and Messaging Data
If you connect WhatsApp or another messaging channel to Navis, we process the messages, sender identifiers, attachments, and metadata required to route the message, capture operational records, and respond through the same channel. Navis does not use WhatsApp message content for advertising. We only process messaging data to provide the requested business workflow, maintain security, prevent abuse, and support the connected account.
How We Use Information
- Provide, operate, secure, and improve the Navis platform.
- Authenticate users and enforce organization, vessel, and role-based access controls.
- Route inbound messages and documents to the correct operational workflow or assistant.
- Generate summaries, structured records, and operational responses requested by authorized users.
- Monitor reliability, debug errors, prevent fraud or abuse, and comply with legal obligations.
AI Processing
Navis may use artificial intelligence services to extract structured information, summarize operational context, and assist authorized users. We design these workflows for business operations and access control. Users should not submit information they are not authorized to process in Navis.
Sharing and Service Providers
We do not sell personal information. We may share information with service providers that help us host, authenticate, secure, analyze, message, or operate Navis. These providers may include cloud infrastructure, identity, email, communications, analytics, storage, and AI processing providers. We may also disclose information if required by law, to protect rights and safety, or in connection with a business transaction.
Data Retention
We retain information for as long as needed to provide Navis, meet contractual or legal obligations, resolve disputes, preserve security logs, and maintain accurate operational records. Organization administrators may request deletion or export of eligible data, subject to legal, security, backup, and audit requirements.
Security
Navis uses administrative, technical, and organizational safeguards intended to protect data, including encrypted transport, authenticated access, role-based permissions, webhook verification where supported, and operational logging. No system can be guaranteed to be perfectly secure.
Your Choices
You can disconnect messaging channels, request account support, or ask for eligible data deletion by contacting us. If your access is managed by an organization, some requests may need to be handled through that organization.
International Use
Navis may process information in the United States and other locations where we or our service providers operate. By using Navis, you understand that information may be processed outside your country of residence.
